inSite Pro mobile app
Your documents. Clear choices.
This policy explains information handling in the inSite Pro iPhone and iPad app, including its optional connected features.
Information used on your device
You can import a customer workspace containing equipment information, PDF documents, and searchable document text. The app stores the imported workspace in its own storage on your device so its documents can be opened offline.
The app also uses questions, service observations, selected photos or files, and generated answers to provide the features you choose. Recent activity is saved locally as text records, which may include your inputs, answers, attachment names, and document references. Original photos and file attachments are not included in saved activity history.
For local service drafting and project questions, relevant text is processed by Apple's on-device model when available. These local paths do not automatically switch to a remote AI service when generation is unavailable.
Optional connected services
Each customer operates its own connected AI gateway for this release. Connected assistant, connected service drafting, and photo or file review use the gateway configured for your workspace; inSite Pro does not provide a shared hosted AI gateway for this release.
Connected content is sent only after you enable Allow connected AI in connection settings and choose Save + test. Using a connected feature can then send prompts, recent conversation, selected photos or files, and service or planning data to that gateway and its configured AI providers. Your configured access token authenticates requests.
Your choice applies to the current customer workspace and gateway address. Changing the gateway clears it. To withdraw permission, uncheck Allow connected AI and choose Save + test; this stops further connected AI content requests. Connection tests contact the gateway without sending prompts or attachments. Revoking permission does not delete content already sent.
Gateway settings, including the permission choice and access token, use the device's secure storage. The iPhone and iPad app requires HTTPS for gateway connections.
Your customer organization's gateway operator controls its service, including downstream AI providers, logs, retention, deletion, and any use of content for model training. Ask that operator about these practices before enabling connected AI. This policy does not promise that a customer-operated gateway keeps data on your device or handles it under the same terms as local processing.
Device registration and organization licenses
The app creates a random device registration ID and keeps it, demo timing, and signed license records in device-only secure storage. It does not use your hardware serial number. License checks run locally; the app does not automatically send this ID to an activation server.
If you choose to request activation or renewal, the email draft includes the registration ID, customer and project identifiers, and workspace name. You review and send that email. Todd Leichtfuss uses the information to register your organization's seats, issue device-bound licenses, handle renewal, and provide support. It is not used for advertising or tracking across other companies' apps or websites.
License records are retained to manage contracted access and avoid reassigning seats while issued offline licenses remain usable. Contact Todd about access to, correction of, or deletion of these records. Removing a customer pack does not erase device registration or reset the demo. Secure-storage records can survive app removal; erasing them is not a way to release an outstanding seat.
Photos, files, and permission choices
The app uses camera or photo-library access when you choose to take or select a photo. File selection lets you choose an attachment or customer pack. You can cancel a selection and manage camera or photo permissions in device Settings.
Choosing an attachment for a connected review can send it to the configured gateway. Adding an attachment to a service email makes it available in the email draft. Importing a customer pack stores its documents locally; it does not itself send that pack to a gateway.
Email, sharing, and contacting us
Service sharing and quote requests open a draft or the system sharing interface for you to review. The app does not automatically send an email. A quote draft can contain your name, email, company, workspace name, deployment requirements, and requested device count.
If you send a message, its recipients and your email or sharing providers receive the information you include. Support and quote messages sent to Todd Leichtfuss are used to respond to your request. Contact Todd to ask about those records or request their correction or deletion. Deleting the app does not delete emails already sent.
Storage, removal, and backups
Local workspace files and records remain on the device until replaced or removed through app or device controls. Activity history keeps up to 100 recent records, so older records can be replaced as you add new activity. Save important records separately.
Removing the active customer pack removes its imported documents from the app's active workspace. It does not automatically erase separate saved activity, connection settings, original files in Files or Photos, or copies already shared.
Deleting the app removes its app-container data, subject to the operating system's storage and backup behavior. Offloading an app can retain its data, and secure-storage settings can have a separate lifecycle. Imported customer-pack files are marked as excluded from device backup; other app records and user-created copies may be included in backups according to device settings. Ask for help if you need to remove all related copies or settings.
For information sent to a configured gateway, contact that operator about retention or deletion. For support correspondence, contact Todd using the details below.
